Position: Receptionist / Office Assistant

Department: Operations / Office Administration

Reports to: Office Manager / Director of Operations

Location: Ladera Ranch, CA (Onsite)

Position Summary

ALKEME is seeking a highly organized and service-oriented Receptionist / Office Assistant to support daily office operations at our Ladera Ranch headquarters. This role serves as the first point of contact for guests, employees, and vendors, while also ensuring the office environment is organized, stocked, and operating efficiently.

This position plays a critical role in delivering a professional and welcoming experience while supporting administrative functions, mail distribution, and office coordination. The ideal candidate is proactive, detail-oriented, and takes pride in maintaining a high-quality workplace environment.

Front Desk & Communication

  • Answer and route incoming calls in a professional and timely manner
  • Return voicemail messages and direct inquiries to appropriate team members
  • Serve as the primary point of contact for visitors

Mail & Document Management

  • Open and sort incoming mail and distribute accordingly
  • Prepare and process outgoing mail
  • Coordinate policy mailings using EPIC (Insurance software)
  • Create and manage UPS shipping labels
  • Distribute emails and faxes as needed

Office Operations & Maintenance

  • Maintain cleanliness of shared spaces including kitchen and common areas
  • Restock kitchen and office supplies
  • Organize storage areas and supply closets
  • Monitor inventory levels

Administrative Support

  • Assist with internal projects and meetings
  • Support department requests
  • Assist with MVR requests when required
