Dispatch Coordinator

About the Role

We are looking for a highly organized and proactive Dispatch Coordinator to join our Service Delivery team. In this role, you will oversee daily scheduling operations, coordinate technician routing, and ensure seamless communication between field teams and customers.

This position is essential to maintaining workflow efficiency, optimizing appointment scheduling, and delivering excellent customer experiences in a fast-paced environment.

Key Responsibilities

  • Review and assign daily work orders to appropriate technicians
  • Adjust and reschedule appointments based on availability and call-outs
  • Generate and distribute daily ONT reports (scheduled, completed, pending, fallout jobs)
  • Continuously optimize schedules to maximize efficiency and productivity
  • Proactively contact customers to offer earlier appointment opportunities
  • Schedule troubleshooting and service appointments during assigned shifts
  • Communicate scheduling updates and process changes to the team
  • Manage technician availability (PTO, meetings, events) in scheduling systems
  • Monitor dispatch ticket queues and ensure timely resolution
  • Track technician activity via Geotab and provide customer updates on delays
  • Support internal communication channels (TechTalk & Installation Support)
  • Collaborate with field teams on scheduling adjustments
  • Update Jira tickets (remote activations, labels, attachments, work orders)
  • Schedule appointments after OSP escalation clearance
  • Create HUB tickets for equipment shortages and coordinate rescheduling
  • Foster a culture of trust, integrity, and collaboration

Qualifications

  • High school diploma or GED required (Associate's degree preferred)
  • Previous experience in dispatch, scheduling, or coordination roles preferred
  • Familiarity with tools such as Jira, Geotab, or similar systems is a plus
  • Strong organizational skills and attention to detail
  • Ability to multitask in a fast-paced, high-volume environment
  • Excellent communication and customer service skills
  • Problem-solving mindset with a proactive approach
  • Comfortable working across multiple platforms simultaneously
  • Ability to prioritize tasks and work effectively under pressure
