Virtual Intakes Associate

Nogales Psychological Counseling provides professional mental health services with a focus on the psychological treatment of individuals involved in workers' compensation cases. Job Overview

We are seeking a Virtual Intakes Associate to join our Intakes Department. This role is critical in processing referrals, coordinating appointments, and facilitating communication between clients, staff, insurance companies, and law offices, etc.

Responsibilities

• Review and process incoming referrals, mainly related to workers' compensation psychological treatment
• Schedule appointments and coordinate with the Historian Psychological Assistants calendars
• Answer and place phone calls to clients, attorneys, and insurance companies
• Communicate with internal staff and document relevant updates
• Attend virtual administrative and departmental meetings
• Maintain organized, confidential records in accordance with HIPAA guidelines
• Provide general administrative support to the intake team, etc.

Qualifications

• Administrative experience in a behavioral health, medical, legal, or insurance setting preferred
• Experience handling workers' compensation referrals is a plus
• Strong communication and customer service skills
• Proficiency with EMR systems, scheduling tools, and digital office platforms
• Highly organized and detail-oriented
• Able to work independently in a fully remote setting
• Bilingual (English/Spanish) is a plus
• Must always maintain professionalism and confidentiality

Compensation

• $12.00 per hour
• Pay is dependent on experience
