What we're looking for

The Accounts Payable Lead and oversees the full accounts payable function, ensuring accurate, timely, and compliant processing of vendor invoices, payments, and expense reporting. This role manages AP operations end-to-end, supervises AP staff, strengthens internal controls, and drives process improvements while partnering closely with Supply Chain, Operations, and various departments.

The ideal candidate combines hands-on AP expertise with strong leadership, process ownership, and a continuous improvement mindset.

Key Responsibilities

AP Operations & Oversight

  • Lead and oversee daily accounts payable activities to ensure accurate and timely processing of vendor invoices
  • Supervise 3-way matching (purchase order, receiving, invoice) for inventory, freight, and operational vendors
  • Manage weekly and monthly payment runs (ACH, wires, checks) ensuring on-time disbursement
  • Review invoice coding, approvals, and exception handling
  • Reconcile AP sub-ledger to the general ledger and resolve discrepancies

Team Leadership

  • Supervise, train, and mentor AP staff
  • Assign workloads, monitor performance, and ensure deadlines are met
  • Establish best practices, documentation, and standard operating procedures
  • Support employee development and performance improvement

Month-End Close & Compliance

  • Prepare AP schedules and supporting documentation for month-end and year-end close
  • Support internal and external audits
  • Ensure strong internal controls and compliance with accounting standards and company policies

Vendor & Cross-Functional Partnership

  • Serve as escalation point for vendor disputes, chargebacks, credits, and complex issues
  • Maintain accurate vendor master data and oversee vendor onboarding compliance
  • Partner with Supply Chain, Operations, and Procurement to resolve billing issues and improve workflow

Process Improvement & Systems

  • Identify inefficiencies and implement improvements to increase accuracy and speed
  • Leverage ERP systems and Excel reporting to optimize AP performance
  • Support automation and system enhancement initiatives

Requirements

  • Bachelor's degree in Accounting, Finance, or related field
  • 5+ years of progressive accounts payable or accounting experience
  • 2+ years in a lead or supervisory capacity (formal or informal)
  • Strong knowledge of GAAP and AP best practices
  • Advanced Excel skills (lookups, pivot tables, reporting)
  • Experience with ERP systems (SAP, Oracle, QuickBooks, NetSuite, or similar)

Preferred

  • Experience in wholesale, distribution, manufacturing, or B2B environments
  • Exposure to AP automation or process redesign projects

Salary range: $95K - $115K annually (depending on experience)
