Data Entry Clerk (Maintenance)
Summary:
The Data Entry Clerk (Maintenance Coordinator) is responsible for supporting day-to-day maintenance operations across multiple locations by tracking work orders, coordinating with vendors and technicians, processing purchase orders, and maintaining accurate maintenance records. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks while meeting deadlines. The ideal candidate has practical experience in maintenance or facilities-related environments and is comfortable supporting operational teams.
Responsibilities:
- Coordinate and track maintenance work orders across multiple store locations in NCA, NV, TX, and AZ.
- Assist with processing and tracking payments for maintenance services, vendors, and contractors.
- Create, submit, and manage Purchase Orders (POs) and budget requests in accordance with company procedures.
- Support maintenance technicians with scheduling, documentation, and daily operational needs.
- Maintain accurate and up-to-date maintenance logs, service records, and compliance documentation.
- Communicate with vendors regarding service requests, quotes, invoices, scheduling, and follow-ups.
- Purchase equipment, tools, parts, and materials required for maintenance and repair activities.
- Process and manage orders based on individual store requirements and approval guidelines.
- Monitor maintenance expenses and assist with budget tracking and cost control initiatives.
- Follow up on open work orders to help ensure timely resolution of maintenance issues.
- Provide administrative support to maintenance managers and regional leadership as needed.
- Assist with reporting, data entry, and basic analysis related to maintenance operations.
- Perform other duties as assigned by management.
Qualifications:- A Bachelor's degree or equivalent combination of education, technical training, and relevant work experience.
- 1 - 3 years of experience in maintenance coordination, facilities support, construction, refrigeration, property management, or a related field preferred.
- Basic understanding of building systems, facilities maintenance, and repair processes.
- Proficiency in Microsoft Office (Excel, Word, Outlook) and Google Workspace (Docs, Sheets, Drive, Gmail).
- Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously.
- High attention to detail and accuracy in data entry, documentation, and financial tracking.
- Effective verbal and written communication skills for interacting with technicians, vendors, and internal teams.
- Ability to work independently while also collaborating effectively within a team environment.
- Self-motivated, dependable, and proactive with a strong sense of accountability.
- Ability to work in a fast-paced environment and meet deadlines with minimal supervision.
- Basic problem-solving skills and willingness to learn new systems and processes.
- Authorized to work in the United States without sponsorship.
Physical Requirements:- This job may require standing or walking for extended periods of time, lifting up to 50 pounds, and performing repetitive motions.
- Ability to use tools and equipment, including but not limited to knives, box cutters, electric pallet jacks, and other heavy machinery.
Working Conditions: - This job is performed in an environment that may have exposure to heat, noise, and other environmental factors associated with food production.
Position Details:- Employment Type: Full Time
- Location: 6338 Regio Ave, Buena Park, CA 90620
- Working Hours: Monday - Friday 9AM - 5:30PM
- Available to work on weekends and holidays as necessary.

Compensation: The pay range for this job is between $20 - 22 per hour. This is a general guideline only and not a guarantee of compensation or salary.
