Under management direction, using discretion, and independent judgment, this individual will be responsible for performing receptionist as well as various general office duties.
Essential Duties and Responsibilities:
Maintain a professional demeanor, over the phone and in person, at all times with all internal and external customers (visitors, vendors, employees, management, etc.)
Answer the main business phone line
Interpret (English/Spanish speaking) calls and redirect them to the appropriate department and or person
Greet all visitors, customers, and vendors in the front lobby with professionalism
Coordinate lunch as needed for meetings and special occasions
Manage outgoing and incoming US Postal regular and certified mail
Distributes all mail, packages, or faxes
Prepare monthly customer statements and invoices for US mail
Create shipping labels for all customer tire returns
Create office shipment labels via UPS/FedEx
Drop off mail and UPS packages at the end of the day as needed
Reply to all emails daily
Maintain working operation of Pitney Bowes and front desk fax machine
Maintain office supply closet and coordinate when supplies need replenishment
Ship supplies to drivers as needed
Manage (print, sort, distribute) electronic correspondence from AP Inbox
Maintain well organized customer and vendor payable files including weekly filing of paid customer and vendor invoices
Additional support of payable functions such as data entry of payable transactions into ERP as needed
Backup support to Sales Cashier including duties of collecting payments from customers, billing, and reporting
Performs other duties that may be assigned by management
Qualifications & Competencies
Education/Work Experience:
High School Diploma or GED required
Associates or college degree preferred
Requires excellent verbal and written communication skills, and an even-toned disposition
Ability to research documents and use Company information systems applications
Ability to work well with internal and external contacts resolving issues immediately and thoroughly or escalating them as needed
Ability to work well under pressure, with many interruptions and multiple demands
Ability to read and interpret general business writing and to write routine reports, business correspondence, and email correspondence
Bilingual English/Spanish required
PC Literate with basic knowledge of Microsoft Office products; usual office equipment including calculator, telephone, fax, computer, and copier
Ability to work independently and collaborate with others
Must adhere to all safety policies and practice safe work habits
Must be able to work overtime and flexible schedule as needed (including Saturdays)
Certificates/Licenses:
Valid Driver's License, Class C license preferred. Willingness to drive own vehicle occasionally on company business
