Job Purpose

The Office Assistant provides essential administrative and operational support to ensure smooth daily office operations. This role serves as a first point of contact for members and guests, delivering responsive customer service while supporting accounting, onboarding, and general administrative functions. Working closely with the General Manager, the Office Assistant helps maintain organization, accuracy, and a positive on-site experience in a fast-paced environment.

Responsibilities

  • Provide courteous, professional customer service to members and guests in person and by phone, including answering questions and providing directions or information
  • Answer, screen, transfer, and route incoming calls; take and relay messages as needed
  • Support the Accounting function by preparing and processing daily cash sales and receipts
  • Assist with administrative tasks across departments, including bank deposits, data entry, spreadsheet updates, filing, copying, and record maintenance
  • Collect, review, and process new hire paperwork and assist with onboarding and orientation
  • Maintain an organized, efficient work environment by managing workspace organization and office supplies
  • Greet and acknowledge all members and guests promptly and professionally
  • Support and implement all American Golf initiatives and programs as directed by management
  • Perform additional duties as assigned based on business needs
Qualifications
  • Proficiency with basic office equipment, including computers, copiers, fax machines, and postage machines
  • Typing speed of at least 45 words per minute
  • High school diploma or equivalent preferred
  • Two-year college degree preferred, or an equivalent combination of education and experience
  • Strong multitasking and organizational skills
  • Clear verbal and written communication
  • Basic math proficiency
  • Customer-focused mindset
  • Team-oriented and dependable
  • Flexible, adaptable, and efficient in a fast-paced environment
  • Professional, friendly demeanor with a high energy level
Working Conditions
  • Work schedule varies based on business needs; evenings, weekends, and holidays are required
  • Role may involve prolonged periods of sitting or standing, as well as walking, reaching, balancing, and use of hands and fingers
  • May be required to lift or carry objects weighing up to 20 pounds, and occasionally up to 50 pounds
  • Requires close, distance, peripheral, and color vision, along with the ability to adjust focus
  • Noise level is typically quiet, with periodic operational activity
