Administrative Assistant

We are seeking a dynamic and detail-oriented Administrative Assistant to support our Title and Insurance departments. The ideal candidate will excel in communication, thrive in fast-paced environments, and be eager to learn. Fluency in Spanish is preferred.

Responsibilities:

  • Manage incoming titles for new deals and follow up with sellers and brokers for titles not received.
  • Coordinate with customers to arrange next steps for title work and track title status.
  • Collaborate with the title team to send paperwork to requested locations.
  • Utilize automated systems for mass follow-up attempts.
  • Oversee insurance claims from inception to payment and update internal systems with claim status.
  • Communicate with adjustors to provide required documents and follow up on claim status.
  • Create payoffs for insurance payouts and work with third-party shops on repair claims.
  • Generate payoffs for repossession accounts.

Essential Skills:

  • Bachelor's Degree (BA)
  • Proficiency in Microsoft Office Suite
  • At least 1 year of experience in an administrative setting
  • Strong attention to detail

Additional Skills & Qualifications:

  • Experience in the automotive industry or title documentation is a plus.
  • Willingness to learn and adapt in a dynamic environment.
  • Proficiency in Microsoft Excel
  • Spanish-speaking abilities are an advantage.

Work Environment:

This position is 100% onsite, with a start time of 7:30 am, working an 8-hour shift with a half-hour lunch break. The role is based at the corporate headquarters in Norwalk, supporting a subsidiary in California. Our company, known for its stability and growth, offers a contract-to-hire opportunity in a team of approximately 30 employees. The organization specializes in financing large-scale equipment such as trucks, medical equipment, and restaurant supplies.

Job Type & Location:

This is a Contract to Hire position based out of Irvine, CA.

Pay and Benefits:

The pay range for this position is $20.00 - $29.00/hr.
