Operations & Supply Chain Coordinator (Activewear + Jewelry)

We're seeking a highly organized and detail-oriented Operations & Supply Chain Coordinator to support our activewear and jewelry product lines. In this role, you'll manage purchase orders, logistics, and marketplace operations across Amazon, TikTok, and 3PL partners. You'll serve as the operational backbone between suppliers, freight forwarders, and fulfillment centersensuring smooth execution from purchase order creation to final delivery.

The ideal candidate thrives in a fast-paced eCommerce environment, has a sharp eye for accuracy, and can balance multiple priorities while maintaining clear communication with global partners.

Key Responsibilities

Purchase Order & Vendor Management

• Create and manage purchase orders (POs) within the ERP system for activewear and jewelry categories.
• Prepare and submit PO invoices and packing lists to suppliers.
• Verify and cross-reference pricing on ProForma invoices with the Item Master.
• Maintain updated PO data, including CRDs (Confirmed Receipt Dates) and ETAs, in internal trackers and marketplace platforms.
• Conduct weekly check-ins with suppliers to track PO progress and ensure on-time delivery.

Shipping & Logistics Coordination

• Develop shipment plans for Amazon (FBA + AWD), TikTok Shop, and 3PL warehouses.
• Communicate shipment and labeling instructions to factories and 3PLs.
• Request and evaluate freight quotes (ocean and air) from freight forwarders.
• Update marketplaces with accurate inbound tracking and delivery details.
• Manage transfer orders and ensure correct labeling and documentation for shipping and receiving locations.

Inventory, Receipt & Data Management

• Maintain accurate data across ERP, 3PL systems, and marketplaces.
• Oversee receipt management and ensure completion within SLA timelines.
• Handle item management processes including new SKU setup, UOM updates, and label generation.
• Coordinate claims management for Amazon (e.g., POD submission, item master updates).
• Support TikTok CCR violation and NCI case management, including data collection and reporting.

Sales Order & Fulfillment Oversight

• Review and reconcile backorders and orders on hold in ERP and 3PL systems.
• Monitor Amazon removal orders and ensure proper tracking and processing.
• Provide operational support for sales order flow to maintain fulfillment accuracy and timeliness.
