Overview:
Under general supervision, supports performing specialized administrative and technical assistance support to the Orange County Transportation Authority (Authority) Clerk of the Board, Board of Directors, Executive Management, and staff.
This is a non-exempt position in Salary Grade 165: Min $31.84- Mid $38.04 - Max $44.23 per hour. The starting salary will be within this range based on qualifications.

Responsibilities

Has Technical and Professional Expertise: Has the technical skills, product knowledge and professional skills to do the job.
* Provides administrative and technical assistance to the Clerk of the Board (COB).
* Assists with compiling various Committee agendas and associated agenda materials. Supports the preparation of agenda follow-up documents and the coordination of documentation with other departments.
* Assists in the movement of legal documents and public records requests received on behalf of the Authority.
* Assists with processing the Form 700 - Statement of Economic Interests for the Authority filers as mandated.
* Purchases office supplies and equipment for Board and Committee meetings and special Board Member requests, as needed. Maintains and replenishes office supply inventory, including mailing labels. Orders and reconciles catering and food orders billings.
* Maintains all electronic email distribution lists and confidential Board Member contact information.
* Assists with teleconferenced meetings held at the Orange County Transportation Headquarters.
* Processes Employees of the Month, Employees of the Year, and various Board resolutions.
Communicates Powerfully & Prolifically: Shares insights on issues/problems, clarifies purpose and links that purpose to actions.
* Utilizes strong written and verbal skills, to communicate effectively with Board Members, executive management, other high-level representatives of government agencies, their staff, and the public.
Takes Initiative: Initiates new programs, processes, relationships, or technologies to accomplish goals.
* Supports all Board-appointed Committee functions, including meeting coordination and set-up, meeting noticing, minute taking and transcription, along with coordination of presentation materials.
* Supports the maintenance of Board agenda historical documents. Adheres to the Authority's retention schedule and procedures.
* Supports the coordination and updating of Board and Committee meeting calendars and performs time stamping and trimming Board and Committee meetings in Granicus.
* Supports the coordination of Public Hearings, which includes publishing notices in newspapers in multi-languages, reserving a court reporter and/or sign-language interpreters, translators, and reconciling related invoices.
Works in a Collaborative Manner with Others: Works in a collaborative manner with others, helps resolve unproductive conflict.
* Supports liaison responsibilities with Authority staff, Board Members, and their staff, as well as other public agencies.
Qualifications
Any combination of education and experience equivalent to a high school diploma with a minimum of three years of administrative experience. Working with elected officials is highly desirable
