About Us: Laguna Playhouse, a nationally acclaimed, non-profit, professional theatre located steps away from the Pacific Ocean in the charming arts colony of Laguna Beach, CA, is seeking a full-time Bookkeeper to support the financial operations of our vibrant and growing non-profit theater.
About the Position: Under the general supervision of the Controller, the Bookkeeper is responsible for maintaining accurate financial records, processing accounts payable and receivable, and managing bank deposits. The Bookkeeper also works closely with the General Manager and other team members to ensure a seamless and efficient workflow. The ideal candidate will deliver exceptional customer service to internal and external clients while maintaining high accuracy, timeliness, and compliance standards.

Qualifications:
Proven accounting experience, preferably as an Accounts Payable or Accounts Receivable Clerk
Familiarity with bookkeeping and basic accounting procedures
Competency with computers and proficiency in Microsoft Excel and Word
Advanced knowledge of accounting software; experience with Sage 100 or a strong desire to learn is essential
Experience in payroll processing is required; ADP experience is preferred
Hands-on experience with spreadsheets and financial reports
Exceptional accuracy and attention to detail
Strong organizational skills and aptitude for numbers
Ability to perform filing and record-keeping tasks
Proficient in data entry and word processing
High school diploma or equivalent; additional qualifications are a plus
Key Responsibilities:
Accounts Payable
Audit incoming invoices and payment requests for appropriate coding and authorizations
Process vendor payments weekly via RAMP, ensuring timely and accurate payment of invoices
Handle vendor communications and resolve any billing disputes
Code credit card expenses and upload credit card charges to Sage 100
Upload payroll transactions from ADP Workforce Now to Sage 100
Accounts Receivable
Weekly uploads from our Ticketing Software (Tessitura) to Sage 100
Cash Deposits from Concessions sales and parking revenue with entry into Sage 100
Assist in resolving discrepancies and irregularities in financial records
Maintain digital and physical files for easy access during annual financial audit
Accounting and Human Resources
Process bi-weekly payroll using ADPs Workforce Now solution, ensuring accuracy and compliance
Lead the onboarding process, including preparing offer letters and new hire documents
Assist in benefits administration, including processing new hires, terminations, and employee changes
Additional Duties
Collaborate with the Controller and General Manager to improve financial processes and systems
Provide exemplary customer service to internal and external clients
Manage supply orders for all departments
Undertake additional tasks and projects as assigned
Physical Requirements: This position involves sitting, standing, twisting, turning, and lifting up to 25lbs during filing and storage management.
