Company Overview

We are a successful collection of five integrated Construction Servicing companies with a combined annual revenue of approximately $25 million. We are seeking an experienced Full Charge Bookkeeper to centralize and manage our financial operations across all entities.

Position Summary

The Full Charge Bookkeeper will oversee the complete financial operations for multiple companies in the construction and property management industries. This role will be responsible for establishing efficient systems, managing financial reporting, and supervising bookkeeping staff while ensuring accurate and timely financial management across all business entities.

Compensation

  • Salary Range: $80,000 - $110,000 annually (based on experience)

  • The position will be supported by an assistant bookkeeper.

Key Responsibilities

Financial Management

  • Manage all aspects of day-to-day bookkeeping and accounting processes for five companies

  • Prepare and analyze monthly financial reports including P &L, Cash Flow, and Balance Sheets

  • Reconcile all bank and credit card accounts monthly

  • Monitor cash flow and maintain a 13-week cash flow forecast

  • Review pricing from all vendors before paying invoices

  • Proactively identify budget variances and recommend corrective actions

Inventory Management

  • Develop and maintain inventory tracking systems across all companies

  • Coordinate regular inventory counts and reconcile with accounting records

  • Track inventory usage by job and project to ensure accurate job costing

  • Analyze inventory turnover and recommend improvements for inventory control

  • Cross-reference inventory purchases with job costing and customer invoicing

  • Generate inventory valuation reports for financial statements

Accounts Payable/Receivable

  • Oversee all accounts payable and receivable functions

  • Process and verify vendor invoices and ensure timely payments

  • Manage collection processes and lien filings when necessary

  • Receive, record, and deposit cash, checks, and other payments

Payroll & HR Management

  • Administer payroll for all companies through PEO system

  • Calculate commissions and deductions

  • Maintain employee records and manage new employee onboarding

  • Handle workers' compensation cases

  • Coordinate HR functions through PEO

Compliance & Reporting

  • Ensure compliance with federal, state, and company policies and regulations

  • Complete quarterly tax filings, sales tax, and unemployment reports

  • Prepare 1099s for subcontractors

  • Coordinate with tax accountant on annual tax returns

  • Manage subcontractor agreements and verify insurance certificates

Administrative Duties

  • Coordinate weekly with ownership (Tuesdays) to discuss financial reports

  • Coordinate weekly with Operations (Thursdays) to ensure proper transaction recording

  • Participate in weekly management accountability meetings

  • Develop and maintain efficient systems for all locations

Qualifications

Required Skills & Experience

  • Proven experience as a Full Charge Bookkeeper, preferably in construction or roofing industry

  • Advanced knowledge of QuickBooks Online

  • Advanced Excel skills

  • Experience with inventory control and management systems

  • Strong understanding of accounting principles and financial management

  • Exceptional attention to detail and accuracy

  • Excellent organizational and time management abilities

  • Strong communication and interpersonal skills

Preferred Qualifications

  • Bachelor's degree in Accounting, Finance, or related field

  • Experience with construction industry software

  • CPA or CB certification

  • Experience managing multiple business entities

  • Knowledge of integrated inventory and job costing systems

Physical Requirements

  • Primarily office-based with standard physical requirements

  • Ability to lift up to 30 lbs
