Seeking an HR/Payroll Assistant to work in our beautiful Newport Beach office! OPPORTUNITY: HUMAN RESOURCES/PAYROLL ASSISTANT - Newport Beach, CA

*Monday - Thursday in office / Friday remote*

Job Summary:

The HR & Payroll Assistant supports the HR & Payroll Department by maintaining employment records, providing customer support to employees and candidates, and assisting with administrative tasks to ensure efficient operations. This role collaborates with the Payroll Supervisor, HR Department, and Managers to ensure accurate and timely payroll processing, employee changes, reporting, and compliance.

Responsibilities:

  1. Manage HR & Payroll email, ticketing system, and voicemail, responding or distributing inquiries appropriately.
  2. Answer and triage questions via HR hotline.
  3. Handle HR Mail, including collection and distribution.
  4. Maintain employee files for new, current, and terminated employees, including creating, updating, and responding to subpoena requests.
  5. Prepare reports related to employment activities.
  6. Create employee transfer, promotion, and change letters; perform data entry.
  7. Support onboarding, background screening, I9 processing, compliance posters, and employee requests for referrals and tuition reimbursement.
  8. Process HR-related invoices for timely payment.
  9. Review and reconcile timesheets, working with managers and employees.
  10. Enter and maintain payroll information in the company's system, including wages, hours, deductions, and updates.
  11. Ensure accurate payroll updates for new hires, terminations, and pay changes.
  12. Respond to common employee and applicant inquiries about policies and benefits; escalate complex issues.
  13. Maintain confidentiality of HR and payroll records.
  14. Conduct periodic audits of HR and payroll files.
  15. Submit expense reports for HR team members.

Education and Experience:

Minimum of 3+ years in Human Resources and/or Payroll, with an Associate's degree or equivalent from a two-year college or technical school, or equivalent experience.

Other Qualifications:

  • Experience with Outlook, Excel, and Word.
  • Ability to work overtime as needed.
  • Experience with Insperity or similar PEO systems.

Compensation and Benefits:

Salary range: $55K-$65K (non-exempt). Benefits include a 401(K) match, rental incentives, bonuses, discounts, and comprehensive health plans. Full-time employees working 30-40 hours weekly are eligible for medical, dental, vision, voluntary benefits, and vacation accrual. Sick leave is provided in accordance with law.
