About the Role:
The Total Rewards Manager provides compensation and benefits expertise to the HR organization and all US and international employees. This role is responsible for designing and developing innovative total rewards programs that are market competitive, supporting talent attraction and retention.
Core responsibilities of the job include managing health and welfare programs, wellness programs, 401(k) plan, ACA compliance requirements, employee benefits data, and internal and external data analytics. The role will also administer the leave of absences and disability programs, and lead benefit operations and initiatives.
The Total Rewards Manager reports to the Director, HR Operations & Compliance and works closely with the Director, Culture and Engagement, Senior HR Business Partner and HR Systems Administrator to support HR and Talent programs and processes.
What You Will Be Doing:
Benefits and Retirement Plan Administration Responsibilities:
- Benchmark best practices, research industry trends, track legislation, and estimate impacts to determine employee benefit best practices.
- Recommend employee benefit programs by evaluating and optimizing employee understanding, acceptance, interests, costs, regulatory requirements, and competitive advantages. Conduct employee surveys and utilization analysis to make informed recommendations.
- Provide clarity of employee benefits by conducting meetings, preparing announcements and explanations, and responding to requests.
- Provide HR management information by collecting, analyzing, and summarizing employee benefit data and trends.
- Collaborate with the Events and Communications group to execute location-specific wellness programs and events.
- Ensure compliance with HIPAA, ADA, Section 125, FMLA, and CA benefit and leave-related laws. Respond to inquiries and ensure compliance of policies and practices.
- Serve as the front-line expert on leave of absence (LOA) issues for U.S. and International teams. Provide information to employees, managers, and HRBPs on LOA process, policies, and data.
- Participate in vendor discussions and management and coordinate on fee negotiations, risk areas, plan design, RFPs, implementations.
- Innovate and create employee service programs to enhance the employee experience and reward tenure and commitment.
- Manage employee recognition programs to ensure employees feel valued and appreciated.
- Oversee the administration of employee assistance programs (EAP) to support well-being and mental health.
- Develop and implement employee engagement strategies to foster a positive and productive work environment.
- Administer the 401(k) Plan and Canadian RRSP to ensure optimal performance, compliance, and accuracy. Manage the 401(k) Non-Discrimination and Audit annual processes. Lead governance of the retirement plans.
- Administer benefit enrollments, terminations, life events etc. Conduct quarterly audits of benefit elections and reconcile across carrier, payroll, and benefit administration systems.
Compensation Responsibilities
- Conduct competitive benchmarking to support recruitment activities, structuring offers, promotions, adjustments, and transfers. Develop recommendations with Talent Acquisition and HR Business Partners to attract and retain key talent.
- Collaborate with the Director of HR and Ops, and GR C&B on market pricing processes, including job matching and competitive market data analysis.
- Support compensation processes both annual, mid-year and off cycle.
- Develop and maintain salary structures to ensure internal equity and external competitiveness.
- Conduct regular audits of compensation practices to ensure compliance with legal requirements and company policies.
- Provide training and support to managers on compensation-related topics to ensure consistent and fair application of compensation practices.

- Knowledge of Compliance: Stay updated on labor laws and ensure the company's benefits, such as PTO and health insurance, comply with regulations like the Affordable Care Act.
- Employee-Centric Mindset: Use surveys to gather input on valued benefits and incorporate feedback into the total rewards strategy.
- Technology Proficiency: Utilize HR management software to automate benefits enrollment and streamline communication, saving time and reducing errors.
- Strategic Planning: Develop and implement long-term strategies for total rewards programs aligning with business goals.
- Budget Management: Manage the budget for total rewards programs, ensuring cost-effectiveness and competitive packages.
- Vendor Management: Build and maintain relationships with external vendors, negotiate contracts, and ensure the best value for the company.
- Diversity and Inclusion: Ensure total rewards programs are inclusive and equitable, supporting the company's diversity and inclusion initiatives.
- Data-Driven Decision Making: Utilize data analytics to drive decisions and improvements in total rewards programs.
Candidate Requirements:
- Bachelor's Degree.
- 5 to 7 years of relevant experience in a similar role.
- In-depth knowledge of benefits design and administration principles, laws, and practices.
- Experience with ADP Workforce now payroll, HRIS, and benefits modules highly preferred.
- A working and continued development knowledge of compensation programs and processes.
- A thorough understanding of benefits administration and in-depth understanding of leave of absence policies, as well as state and federal laws governing leaves.
- Proficiency in MS Excel, (pivot tables, vlook-ups, etc.).
- CCP, GRP, ACCP, or other total rewards professional certification preferred.
- Strong project management skills with the ability to manage multiple priorities and deadlines.
- Excellent communication skills, both written and verbal.
