Compensation: $100,000 - $125,000 per year

You provide administrative support to three executive leaders in this highly visible role.The role requires a proactive individual with excellent organizational skills, attention to detail, quality focus, a can-do attitude, and agility in a fast-paced, deadline-driven organization. You maintain the utmost confidentiality as you have exposure to sensitive & confidential information. Youneed to be an expert in internal procedures, processes and techniques to complete assignments in line with the executives' activities and goals. Your daily routine also includes interaction with various executive-level internal clients across the organization. You possess the skills to work well in a team environment, represent the leadership group with the highest degree of professionalism and business understanding, and deliver flawless and on-time work output.

This is a full-time exempt position which reports directly to the CEO and is based in Milpitas, CA.

CORE RESPONSIBILITIES:

Executive Calendar & Meeting Management:

o Strategically manage complex and detailed executive calendars

o Manage the coordination and logistics of internal and external meetings

o Coordinate international travel arrangements including flights, transportation and lodging for Executives

o Drive and track executive level team communication activities:

o All-hands events, customer briefings, meeting minutes & leadership meetings

o Support preparation of meeting agenda, presentations, and team communications

o Comfortable with orchestrating and managing online, hybrid and in-person events including large team meetings

o Maintain calendar of key management and board meetings, assist with their preparation, and as required, attend these meetings

o Capture meeting minutes & action items & follow up with assignees to completion

o Maintain Board records, assigned corporate records and contracts

Administrative:

o Timely coordination and processing of assigned executives' invoices and travel expense claims. Ensure all policies are followed and submitted expenses are processed within provided guidelines.

o Act as a subject matter expert for corporate policies and procedures

o Be an advocate of maintaining a positive & One SEMI work environment

o Produce high-level, professional emails and messages to individuals at all levels of the of member companies and within the global SEMI organization

o Handle regular activities without prompting, and advise in advance of any issues or delays

o Work cooperatively with cross-functional team members on critical goals and maintain relationships to ensure leadership success

o Lead and coordinate ad hoc projects as requested

o Assist with trademark renewals and other corporate matters

o Assist Executive team with their budget management

KNOWLEDGE OR EXPERIENCE:

o A minimum of 5 years of administrative experience, ideally supporting at the Senior Director level or above

o Demonstrated organizational skills

o Proven experience interacting with senior management

o Excellent written, and oral communication skills

o Proven proficiency in Microsoft Office

o Excellent telephone and meeting etiquette and ability to effectively manage competing priorities

o A college degree is desired

o Bilingual in Japanese or Mandarin a plus
